AUTOMATION PROCESS

Immediate success of this automation project depends primarily on two major aspects: 1) simplicity of software interface and layout 2) cooperation of the project owner to provide needed information. Our school software is flexible and adaptable to any kinds of modification - both for admin and grading system. We always ensure that all processes are well-studied and fitted to the desired enhancement by the school. To achieve optimum and satisfying results, we have defined nine (9) processes that would have to be undertaken to achieve full automation status.

  1. Product Demo Aside from the basic information given by our sales people, we are also conducting an actual product demonstration in order for our prospective client to understand more about our products and the benefits that automation would provide to their school (the savings and convenience, to name a few).
  2. Submit Proposal Based on the requirements and the number of students you have conveyed to us, we will send you a proposal that states cost, terms of payment and other services that you may want to avail. It also includes all the technical and materials requirements to start the automation process.
  3. Contract Signing Once you agree to what's stated in the proposal, we will then send you contract (End-User Agreement and Licensing Agreement) that clearly defines terms and conditions on the use and purchase of our software products.
  4. Data and Payment Collection Once the contract is signed, we will then collect all the data and processes that are important to the formulation of templates of the school. These data are important to customize the software to the current system being used by the school. Along with the data collections, post-dated checks representing down payment and amortization will also be collected by our sales representative.
  5. Template Formulation Once all the data are collected, templates will be formulated based on the current system being used by the school. This process is normally done in 5 working days.
  6. Software Installation Once all the templates are readily available and properly working, the software will be installed together with other software required for the system to work efficiently. Installation of all software will normally last for 30 to 60 minutes.
  7. Test and Audit After software installation, initial simulation will be done to check the accuracy of the database. All reports will be checked one by one and auditing of data will be checked and cross-checked before entering the actual data. Along with the test and audit procedure is the importation of student excel profile to the SQL database to save on time spent doing one-on-one encoding of student's profile.
  8. User's Training and User/Password Registration After all tests and audit are done, all users of the system will be invited for an actual hands-on training. Each of the users will be assigned individual user and password with access rights according to the security access that will be granted by the school administration.
  9. Turn-Over of Automation Project Once all users are properly oriented, electronic copy of the user's guide will be attached to the program to remind them of the proper procedures from time to time. Lifetime warranty is provided except for some violations specified in the end-user agreement. Remote access is available for free if technical assistance is needed.
